Surprise & Delight on the San Antonio Riverwalk


During a large-scale program our team was producing in San Antonio, we were asked to create a last-minute “surprise and delight” moment for a small group of VIP guests experiencing the River Walk by barge. While the overall program brought thousands of attendees to the city, this particular experience was designed for about 25 VIP guests.


The Challenge

By the time this VIP experience came together, every member of our operations team was already fully dedicated to producing the larger evening program. With setup underway across multiple venues, there was no one available to coordinate this moving River Walk activation.

At the same time, I was personally navigating recovery from emergency appendix surgery just two weeks prior. While I had been medically cleared to attend the program, managing the physical realities of recovery while working outdoors in the June Texas heat added another layer to the challenge.


Stepping in where our team needed support, I secured a last-minute mariachi band, coordinated with the river barge captain, and staged the musicians along the River Walk so the music would begin naturally as the VIP guests floated past a beautiful art installation along the river.



The Outcome

As the boat rounded the bend, the mariachi music began playing and the guests were completely surprised. What they experienced felt effortless and spontaneous — exactly the feeling we hoped to create.


Behind the scenes, it required quick decision-making, trusted vendor relationships, and the ability to lead through both professional and personal challenges. Moments like this are a reminder that in the event industry, the magic guests remember often comes from the resilience and problem-solving happening quietly behind the scenes.
